Around the world people and their governments are concerned about climate change and global warming.  During 2009 there is a series of international meetings preparing for the next climate change agreement to be hammered out in Copenhagen in 2010.   This will be a very critical meeting because the planet is fast approaching a “tipping point” when it will be too late to pull back from very serious climate change.

So what does this mean to business and particularly small business?  Small business is the backbone of economies around the world and cumulatively is responsible for an enormous amount of carbon emissions even when they are small and “just office or home based”.  In fact office based business is responsible for 30% of greenhouse gas emissions.  This is far more than transport which is the most obvious target for concern.

When a small business systematically addresses all its activities and looks at the carbon and other environmental impacts of each, the business can remove a large amount of waste and preventing waste is what also saves money.  If you can reduce your electrical waste by 20% you will reduce both your greenhouse emissions and your power bill by that same 20%.  And electrical consumption is just area that can be looked at.

If this is to work effectively the business will need to work with all employees to change the culture and raise awareness of green issues.  Commencing some green training for all personnel helps them to understand and accept the reasons for the changes and know what is expected of them.

Many people feel that they want to go beyond carbon emissions because they realise that there is more to the environment than just emissions.  In this case the business may want to take their planning a step further and implement and environmental management system.  This works even better when an effective feedback loop is included so that when mistakes of any kind are made, the business looks at the root cause or real reason that they were able to happen then remove that cause.

Many businesses take their environmental management system a step further and have it independently audited to ISO 14001 which is the international standard for environmental management. It is important to keep the system simple and low in paper because otherwise it is unlikely to work effectively in the long term.

A simple and effective environmental management system can save a small business for more than the cost of implementing and maintaining it and it also saves time and money.  Reducing your carbon footprint saves money but a full management system saves even more and achieves an internationally recognised green certification, ISO 14001.

Evolution And Future Challenges Of ISO 14001 Standards

However, as environmental issues have increased in importance, organizations in the service and support sectors have adopted EMS as well. The spectrum of EMS users has broadened to areas including zoos, farming, schools and universities, military services, media, ships and airlines.

ISO 14001 certification now reaches cruise ship companies, marine transportation services, container carriers and leading ship classification societies.

Almost all airlines and airports can be expected to be certified within the next ten years. Recreation, holidays, browsing in shopping malls. More and more small- and medium-sized enterprises are discovering the benefits of certification. The myth that ISO 14001 is difficult to implement for small business is de-bunked by the fact that more than 200 German chimney sweeps are certified.

The number of EMS users will continue to grow, particularly as ISO 14001 penetrates more effectively into supply chains.

The real challenge in the future, however, will be how well the ISO 14001 participants deal with the most compelling environmental threats – climate change, resource use, biodiversity loss and legal compliance.

For ISO 14001 to maintain its international currency as a force for environmental protection, it will need to demonstrate that it is able to support action on these areas and remain an effective tool for sustainable consumption and production.

In our business we often need to describe our policy and practice regarding quality of service, responsibility towards environment and employees health to our clients. There are three set standards i.e. ISO 9001, ISO 14001 and OHSAS 18001 accepted globally.

ISO 9001 is the internationally recognised Quality Management Standard for all types of organisations.  It’s all about managing your processes and continually improving the way you do things.  It doesn’t require you to change any of your operating procedures or do anything that isn’t good practice. It simply asks you to “Say what you do, and do what you say”.

ISO 9001 is by far the world’s most established quality framework, currently being used by over ¾ million organizations in 161 countries, and sets the standard not only for quality management systems, but management systems in general.

Having ISO 9001 certification demonstrates that your organisation is well managed, knows where it is going and has a plan to get there. Also, having a plan means you are far more likely to succeed.

Certification to the ISO 14001 Standard demonstrates your ‘Green’ credentials to the world at large and your customers in particular. It gives them the confidence to know that behind the certificate there is an organisation that is aware of its environmental responsibilities and is doing everything it can to minimise any adverse impact.

ISO 14001 standard is applicable to any organization that wishes to:

• implement, maintain and improve an environmental management system
• assure itself of its conformance with its own stated environmental policy (those policy commitments

• of course must be made)
• demonstrate conformance
• ensure compliance with environmental laws and regulations
• seek certification of its environmental management system by an external third party organization
• make a self-determination of conformance

OHSAS18001 sets out the requirements for an Occupational Health & safety Management system that enables organisations to control physical, work related risk, protect employees’ health and improve business performance.  It requires the creation of a relevant Management System and has been developed to promote best practice in this field.

Obtaining OHSAS 18001 demonstrates that you have:

· procedures for risk assessment, risk control and hazard identification

· structured health and safety training and required competences

· emergency procedures and response mechanisms

· formal communication channels for disseminating health and safety information

· performance measures and improvement plans

Achieving ISO compliance and certification can take significant amounts of time but should prove valuable for companies interested in successful global networking and high levels of customer satisfaction.

ISO 14001 Standard does not require an Environmental Manual. Despite this, almost all companies I worked with developed and used EMS Manuals. Many of our clients use a four-level structures, including records, as shown below:
Manual – level 1
Procedures – level 2
Instructions – level 3
EMS Records – level 4
While auditing EMS systems like the one above, I often asked clients about the position of their Environmental policy in this structure. If you start from an Environmental Manual, how would you know what standard this manual should cover? The Environmental policy defines it and therefore it may be included into the structure:

ISO 14001 Procedures – level 3
Work Instructions – level 4
EMS Records – level 5
